Know what the company owes.
When staff pay a business expense personally, approval can create an amount the company owes them. Keep that amount separate from company advances still in their hands.
Start with who paid
The employee records the expense as paid personally. This differs from spending a company advance or recording a cost the company paid directly. The payment source determines the financial meaning.
Review before reimbursement
An owner or permitted independent manager reviews the claim. Submitted and approved amounts remain distinct, including when only part of the expense is accepted.
Record the payment
Pay the employee outside the app using your normal process, then record the reimbursement and payment method. The app records the settlement; it does not send money, initiate a transfer or connect to a bank.
Consider both sides
If the employee also holds company money, preview an offset or separate settlements. A zero net figure alone is not evidence that either side was settled. Confirm the recorded result in balance history.
Check the fit for your business
The current release records amounts in Indian rupees (INR), with the business time zone set to Asia/Kolkata. International availability does not mean every currency or business time zone is supported. Payments happen outside the app; it does not hold or transfer money.
