Settle an advance without losing the history.
A settlement records how outstanding amounts were resolved. Start with approved records and examine money held and money owed separately; do not use a net figure as a shortcut.
Return unused company money
If an employee still holds company money, they return it using an external payment method. Record that return after it happens. Do not record a reimbursement, which has the opposite financial meaning.
Reimburse approved personal spending
If approved costs were paid personally, the company pays the employee outside the app and records a reimbursement. Expenses still waiting for review are not included in that approved amount.
Record an offset when both sides exist
An employee can hold company money and be owed approved personal costs at the same time. An offset settles matching amounts on both sides without a new external payment. Preview it first; equal held and owed amounts are not settled automatically.
Check the result and keep a reason
Review the settlement preview, record the action once and check balance history. If a record was wrong, correct it through an adjustment or reversal with a reason. Never erase history to make the balance look settled.
Check the fit for your business
The current release records amounts in Indian rupees (INR), with the business time zone set to Asia/Kolkata. International availability does not mean every currency or business time zone is supported. Payments happen outside the app; it does not hold or transfer money.
